A step-by-step guide to applying for government jobs online: what to read in the notification, documents and scans to prepare, one-time registration, fee payment, the correction window and the mistakes that most often get forms rejected, with real rules from 2026 notifications.
- Location
- All India
Key points
- Read the full notification before you start, especially eligibility, age as on date, fee and the list of documents.
- Prepare scans in the exact format and size asked for. Every recruiter sets its own limits.
- Fill your name, father's and mother's name and date of birth exactly as on your Class 10 certificate.
- Pay the fee before the fee deadline, which can be different from the form deadline. An unpaid form is not a valid application.
- Use the correction window if there is one, but some fields can never be changed.
Step 1: Read the notification properly
Download the detailed notification from the official website (not a screenshot from social media) and check:
- Eligibility: required qualification, and whether you must have it by the last date. RRB NTPC 2026 says candidates awaiting final results should not apply.
- Age and the "as on" date. See our age relaxation guide for how to calculate it.
- Important dates: start date, last date, fee payment last date and correction window.
- Number of applications allowed. RRB allows only one application to one RRB per notification. Applying to more than one gets all of them rejected. The Supreme Court Registry considers only your last submitted form.
- Selection process and exam centres, so you can choose cities sensibly.
Step 2: Keep these documents ready
| Document | Why it is needed |
|---|---|
| Class 10 certificate | Proof of date of birth and name spelling |
| Class 12 / degree certificates and mark sheets | Educational eligibility |
| Category certificate (SC/ST/OBC-NCL/EWS) | Reservation and age relaxation, in the format the notification asks for |
| PwBD certificate | Disability reservation, relaxation and scribe |
| Ex-servicemen discharge documents | Ex-servicemen quota and relaxation |
| Aadhaar and active mobile number and email | OTP, login and all communication |
| Recent passport-size photo and signature scans | Uploaded with the form |
| No Objection Certificate (if employed in government) | Often needed at document verification |
The Supreme Court's 2026 notices, for example, ask applicants to upload Class 10 and 12 certificates plus caste or disability certificates while applying. Its Court Master notice also asks serving employees for an NOC at document verification.
Step 3: Prepare photo and signature scans
There is no single standard. Each recruiter sets its own sizes, so follow the notification. Two real 2026 examples:
- UPESSC (UP TGT): photo and signature in JPG/JPEG of 10–100 KB, and certificates as PDF of 20–200 KB.
- RRB NTPC: the application asks for a live photo captured during the application, along with scanned documents as listed in the CEN.
Tips: use a plain light background, keep your face clearly visible without a cap or dark glasses, sign in black ink on white paper, and crop tightly before compressing. Don't upload old photos. Several recruiters compare your photo at the exam centre and at document verification.
Step 4: Register (OTR) and fill the form
Many recruiters now use One Time Registration (OTR), a profile you create once and reuse. UPESSC, for example, requires OTR before the TGT form opens. RRB uses a 'Create an Account' step, and the details you enter there cannot be modified later, even in the correction window.
While filling:
- Copy your name and date of birth exactly from your Class 10 certificate. A changed name needs a Gazette notification (the Supreme Court says so in its notices).
- Choose your category carefully. The Supreme Court Registry will not entertain any request to change the category later.
- Enter a mobile number and email that will stay active for the whole process, which often lasts more than a year. Admit cards and results are sent there.
- Choose exam cities in order of preference, but expect that you can still be shifted.
Step 5: Pay the fee
Fees are paid online only (net banking, card or UPI) for most recruiters. Note the separate fee deadline: for RRB NTPC Graduate the form closes on 6 November 2026, but the fee can be paid until 8 November. A form without payment is not accepted.
Some fees are partly refundable. RRB refunds ₹400 of the ₹500 fee (and the full ₹250 concessional fee, minus bank charges) only if you appear in the first CBT. Concessional fee categories must show the right proof (for example, the EBC certificate format in the RRB notice) at document verification.
Step 6: Submit, print and use the correction window
- After submitting, save the PDF and print it, and note your registration or application number. You need it for the admit card. UPESSC asks for printouts at document verification.
- If there is a correction window (for example RRB NTPC Graduate: 9–18 November 2026, with a modification fee), check every field again. Fix mistakes then, because no changes are allowed later.
Mistakes that most often get forms rejected
- Applying without the required qualification on the last date.
- Name or date of birth not matching the Class 10 certificate.
- Wrong or invalid category certificate, or an OBC certificate that doesn't prove non-creamy layer status.
- Applying more than once where only one application is allowed.
- Fee not paid, or paid after the fee deadline.
- Blurred, old or wrong-sized photo or signature.
- Using an unofficial website or agent. Apply only on the link given in the official notification.
Stay safe
No recruiter asks for money to "confirm" a job, and RRB warns that it has not appointed any agent or coaching centre to act for it. Download admit cards and results only from the official website named in the notification.

How to Fill a Government Job Online Form 2026: Step-by-Step Guide: FAQs
What documents are needed to fill a government job form?
+
Usually your Class 10 certificate (date of birth), qualification certificates, category or PwBD certificate if applicable, Aadhaar, an active mobile number and email, and scans of your photo and signature.
What photo size is required for government job forms?
+
It differs by recruiter. For example, UPESSC asks for JPG/JPEG photo and signature of 10–100 KB, while RRB captures a live photo during the application. Always follow the notification.
Can I change my category after submitting the form?
+
Usually no. The Supreme Court's 2026 notices, for example, say requests to change category will not be entertained. Use the correction window if one is offered.
What happens if I apply twice for the same recruitment?
+
It depends on the recruiter. RRB rejects all applications if you apply to more than one RRB, while the Supreme Court Registry considers only the last submitted form.
Is the last date to apply the same as the last date for fee payment?
+
Not always. RRB NTPC Graduate 2026 closes on 6 November but allows fee payment until 8 November. Check both dates.
Is the application fee refundable?
+
Usually not. Some recruiters, such as RRB, refund part or all of the fee only to candidates who appear in the first CBT.
